Facilities It is recommended that you familiarize yourself with the facilities available at the venue.

Briefing Session
It is imperative that speakers attend the appropriate briefing session prior to the presentation of their contribution. Speakers should bring any illustration material they wish to use during their presentation to the briefing session. A brief CV for introductory purposes should also be available.

Presentation
The time allowed per author will not permit reading the paper in full. You are asked to rather highlight specific points from the paper, with a view to stimulating a worthwhile discussion. In this way the best use will be made of the time available.

Time limit
Please note that the time limit allocated to you will be strictly enforced. The warning system to be used in this regard will be explained to you during the briefing session.

Suggestions for slides and transparencies

Contents
The essence of effective illustrations is simplicity. As far as possible, they should:

  • convey a single significant message;
  • contain not more than 100 letters, symbols or figures;
  • use colour to clarify and to direct attention; and
  • include a size reference where relevant, e.g. a matchbox, a tape measure, a person, etc.

Preparation
In preparing material for slides and transparencies :

  • use lettering of 1/30 of the picture width for titles and 1/40 of the picture width for legend;
  • use letter thickness of about 1/20. 1/10 and 1/5 of letter height for light, medium and heavy
  • letters or lines;
  • use bold symbols to show data points on graphs;
  • omit all non-essential detail; and
  • in the case of transparencies the actual area to be shown should not exceed 22cm x 18cm.

Review
Before preparing slides and transparencies, check that:

  • all data is relevant and essential to the specific single message you intend to convey at that point of the presentation;
  • all data is legible when viewed from a distance equal to 7 times the picture width; and
  • all tables are essential and cannot be presented in graphical form.

Identification
After slides and transparencies have been prepared:

  • add a number identification mark in the lower left hand corner of the mount; and
  • pack in order of projection in a box identified with your name and the title of the paper.
